

01 Getting Started
Welcome to Tennis PRO! With Tennis PRO!, all the administration tasks you do on a daily basis will be easier and faster, allowing you to spend more time growing your business.
This user guide introduces you to Tennis PRO! and gets you up and running quickly. It shows you how to do most common tasks, provides you with tips, and points out some of the useful features that come with Tennis PRO!
For installing a completely new Tennis PRO setup, and creating the backend database, see this page.
It’s easy to set up Tennis PRO!
- Insert the Setup disk into the floppy drive (or CD-ROM).
- If using Windows 95, 98 or NT 4.0, choose Start, then Run and type a:\setup (or d:\setup for CD-ROM. The dive letter 'd' indicates your CD-ROM drive).
- Choose OK

Follow the instructions on your screen. Choose Next to continue through the setup process.
Once that has been done, the Start Menu will appear. Move the arrow over Tennis PRO! and a second Program Box will appear. Choose Tennis PRO! to begin the program.
After Tennis PRO! has started you need to make sure your front end application is attached to the backend database. For more information, please read 'How to link your SSW Access database to an Access or SQL backend'.
01.3 Some Database Terms you need to know
- Database – an organised collection of information. In computer lingo, information is called data.
- Forms – A form is another name for a screen usually showing information used for data entry. E.g. Data in Tennis PRO! is entered in to forms such as the one above.
- Field – a single category of information – for example the Client Form (shown above) has the following fields, Client ID, first name, surname, address, suburb, State and Post Code to name a few.
- Field Name – the name of the field, such as Client ID or first name.
- Record – a single entry in the database. In our example a record would consist of a Client’s ID name and address. Each records has many fields.
01.4 Tips and Shortcuts for using Tennis PRO!
Toolbars
Tennis PRO! has the same toolbars that are used throughout Microsoft Office. If your screen does not show tool bar you can display it by clicking on View -> Tools -> and tools you want displayed.
The toolbar buttons access the same tools and appear on the toolbar in the same location for consistency and ease of use.
Tool tips are implemented – when you move the mouse pointer over a toolbar button, a caption displaying the name the name of the button appears below the pointer. A further description is displayed on the status bar.
When a particular command is not applicable to that forms, it is dimmed to indicate that it is inactive.

Tennis PRO! Database ButtonsTennis PRO! uses a number of database buttons that are different from those used by Microsoft Access. These buttons generally appear in the same positions on forms, for consistency and ease of use.
Add button - Add a new record
Delete button - Delete a record
Tip button - Tips specific to the current screen
Close button - Closes current screen to the previous screen
Summary Form button - View the data in spreadsheet format
Print button - Print a report
Print Preview button - Preview a report (You can then choose File -> Print)
Post Code Search button - Search for any Australian Post Code
Navigation buttons - where the following buttons takes you to:
the first record;
the previous record;
the following record; and
the final record.
Green Find Box - Find a specific record using one of three find boxes (on bottom of all screens)
- Data Entry Fields – Fields in the white areas data is typed into.
- Calculated Fields - grey fields are known as ‘calculated fields’ where the data is derived from other data entry fields.
Data Bar - Edit - When in edit mode a pencil appears. (Saves inputted data. It is located at the left side of forms (left of screen)).
Data Bar - Save - Once saved, an arrow appears.
Shortcut Keys
Ctrl and ‘ Repeat data (for one particular field e.g. surname) from previous record Ctrl and F9 Refresh the information on the screen after entering new data Alt and Down Arrow Shows choices available in combo (selection) box Tab Go to next field Tab and Shift Go to previous field Esc Undo a field. This lets you exit a record without saving it to the database. It allows you to undo the current record you have just added or edited Esc (again) Undo the whole record Double Click "Drill Down" for more information related to this field
General Tips
- The status bar at the very bottom of the screen indicates what Tennis PRO! is currently doing.
- Remember to use the keyboard Tab key to move between fields.
- Use the number keypad, rather than the numbers on the top row, to save time.
- When a message box pops up, you do not have to use the mouse to choose OK. Just hit the Space Bar or press Enter for the same result.

Combo BoxesCombo Boxes (i.e. drop down list boxes) are a fast and accurate way of entering data into forms.
The following diagram is an example of a typical combo box :

- To open a combo box press ALT+DOWN ARROW or F4 (If the cursor is flashing in the combo box) or simply follow the example above using the mouse.
- To close a combo box press ESC (when combo box is selected).
- If the cursor is in the combo box, type a few characters to quickly search for some data in the list
Finding InformationFinding information in Tennis PRO! is made easy with the Find combo boxes
, located at the bottom of each screen. These green combo boxes allow you to search by different types of information such as a Client's Surname, First Name or Company Name. Always look for the green combo on whatever form you are in.
To use the green Find Box:
- Place the cursor inside the combo box you want to use, then type the first few letters of the information you require.
- Press Enter.
If you are familiar with Microsoft Windows programs, you will find Tennis PRO! easy to use because entering and editing data is consistent throughout.
Tennis PRO! functions have been designed to minimise the amount of data that needs to be entered via the keyboard. Wherever possible, you only have to point and click to select an option.
For all data entry, do not use full stops or commas
Name
Do not use titles - i.e. Mr or MrsFirst Name
Use Proper Case - i.e. John not JOHN or johnSurname
Use Proper Case - i.e. Smith not SMITH or smithAddress
PO Box No full stops
No space between P and O
Capital P,O and B - Lower case for the restSuburb CAPITALS State CAPITALS Street No abbreviations e.g. St Phone and Fax Numbers
- No brackets around area code e.g. 02, then a space between two sections of numbers (not a dash - ).
- Therefore, a number should be entered as such: 02 9953 3000 .
- Always include the area code
